How to take florist phone orders in Shopify POS and get paid

The short answer

On Shopify POS Pro, take a flower order by phone without hearing a card number: build it in the POS cart and tap Send cart. Shopify emails them a link to your checkout. On POS Lite, send an admin draft invoice. For delivery, use an admin draft with Local delivery selected, or test whether a sent cart offers your rate.

With the caller still on the line, use Send cart:

  1. Add the arrangement and extras, and the caller as the customer so their email fills in.
  2. Tap ⋯ (More actions) at the top of the cart, then Add note, type the card message, delivery date and instructions, and tap Save.
  3. Tap ⋯ again, then Send cart. Check the email, add a message if you like and tap Send.
  4. Unless they’re collecting, ask the caller before you hang up to enter the recipient’s name and address as the delivery address at checkout; shipping and tax follow it.
Send cart and Create draft order (outlined) share the cart’s ⋯ menu. Add note, just below them, takes the card message first.

The sent cart waits as a draft until the caller pays, then becomes a completed order credited to the POS channel and your store in Shopify’s sales reports, and to the staff member if they signed in to POS with their email, not a PIN. If you track sales by staff, have anyone who sends carts sign in with email before Mother’s Day, not on it.

Phone orders without card details covers the workflow for any shop; production tickets for florists covers the workroom ticket.

Decide how to charge for local delivery

Whichever route you use, first turn on Local delivery for the location in Settings > Shipping and delivery (under Additional delivery methods), with your zones and price, and Pickup in store.

Build delivery and pickup orders as admin drafts

  1. In the Shopify admin, go to Orders > Drafts and click Create order. Add the arrangement, the caller as the customer, the recipient’s address for a delivery, and the card message and delivery date as a note.
  2. Click Add shipping or delivery and select Local delivery, or Pickup in store and your shop. Local delivery covers only addresses inside your zones, so for a funeral home outside them, or to price by hand, create a custom rate. The customer can’t change the method you choose.
  3. Click Send invoice, review the invoice and send it; the caller gets a checkout link by email. Or click Share > Copy link and paste it into a text.

Shopify lists admin drafts under Draft Orders in its sales by channel reports and doesn’t say whether your store or staff are credited, so if you pay commission, check the POS total sales by staff member report after the first one.

Test what a sent cart’s checkout offers

Send a cart with a note to yourself, enter an address in your delivery zone at checkout and see whether local delivery and pickup are offered. Check the note reached the draft in Orders > Drafts, then delete it. If checkout offers local delivery or pickup, use Send cart for that method, as long as the caller picks it. Use an admin draft for any method it doesn’t offer, and for card-message orders if the note was missing.

If the caller has no email, wants a text or offers a card number

Use an admin draft and Share > Copy link, or see texting a Shopify payment link for other options, including Quick Sale in the Shopify app. Keying the card into POS (Manual card entry) is card-not-present, with a different Shopify Payments rate and extra fraud risk; see taking card payments over the phone.

Pay Link, from Countermade (the Shopify POS apps from Invenire Studios), is for florists on POS Pro who take orders by phone and want the payment link made from the POS cart, with checks for a busy counter. The customer pays on Shopify’s own secure checkout, so staff never see or type card details. Staff see the total before the link goes out, with a note when shipping will be added at checkout. A double tap on Valentine’s morning makes one link, not two, and staff can check whether a link has been paid.

Pay Link shows the cart total and notes that shipping is added at checkout if the customer chooses delivery.

At checkout, Shopify asks the customer for a delivery address and may add shipping, so check your shipping rates and turn on Pickup in store (above) first. More on the Pay Link page, or compare native payment links with Pay Link.

Next step

For phone orders built at the counter, Pay Link makes the link from the POS cart with the total up front and a paid status. Join early access and we’ll email you when it’s ready for your store.

Thanks. You’re on the list, and we’ll email you when Pay Link is ready to try.

Common questions

How do I charge a delivery fee on a flower order paid by link?
Create the draft in the Shopify admin, add the recipient’s address, choose Local delivery under Add shipping or delivery (or a custom rate if the address is outside your delivery zones), then send the invoice. Choosing it on the draft puts the fee on the order, and the customer can’t change it at checkout.
Do Send cart orders count toward my staff’s sales?
Yes, if the staff member signed in to Shopify POS with their email rather than a PIN.
Does Send cart work on Shopify POS Lite?
No. Send cart and POS draft orders need POS Pro on the location. Draft orders made in the Shopify admin aren’t a POS Pro feature, so that’s the route to try on POS Lite.
Can I take a deposit on a wedding order with Send cart?
No. Send cart only works when you take payment for the whole order. Instead, take the deposit in person in Shopify POS (Split payment, then Mark as partially paid; not available in some EU locations) and collect the balance on the order later. Deposits on draft invoices need Shopify Plus.
